Challenges & Mitigations

Challenge

During the conversion of office space into treatment rooms for cancer and diabetes patients, Highland Services faced several challenges. The first challenge was coordinating the work of multiple subcontractors, including AC Ventilations Solutions Ltd, BMSI Ltd, and Ecofit Energy Systems Ltd.

Mitigation

To select and maintain appropriate subcontractors, we used a pre-qualification questionnaire to assess potential subcontractors and suppliers, scrutinising each questionnaire and only approving those who met our high standards.

The subcontractors were included in our Communications Plan, where stakeholder communications are mapped in terms of who to contact, means of contact, and frequency. They were included in our pre-start meeting with their role and part in the Programme of Works made clear. Before works began, the Site Manager went through RAMS (Risk Assessments / Method Statements) with all site staff, including the subcontractors, as part of a detailed site induction, ensuring full understanding and compliance.

We ensured all stakeholders/contractors were always well informed via a detailed programme, briefings, emails, and notifications, ensuring that there was no conflict regarding planned/unplanned activities and all works were completed to design and in line with client and programme requirements.

Challenge

The second challenge was ensuring compliance with health and safety regulations, particularly in relation to CDM 2015 requirements. Highland Services recognized the importance of maintaining a safe working environment for all personnel on the project site.

Mitigation

Following review of the scope and programme, we used the provisions in our certified Business Management System to assess the site. Our Contracts Manager, Tim Bluck worked collaboratively with Andrew Scott to further refine our understanding of the scope using Requests for Information. This allowed us to identify and assign a team of four Engineers to ensure that the schedule was met.

Our team worked alongside Andrew Scott representatives to meet and manage the delivery of each specific element of the project in line with CDM 2015 requirements. Our resources for this project were qualified as follows:

  • HND Qualified     Mechanical Manager.
  • NVQ Qualified     skilled tradesmen.
  • CSCS     qualified.
  • NEBOSH     Qualified support from Highland Central Office.
